What should I look for when choosing a virtual assistant?

Most business owners don’t wake up and decide to hire a virtual assistant. It starts with a missed meeting, an overflowing inbox, or the feeling that you’re constantly working but never catching up.

Signs you may need a VA

  • You’re forgetting things or dropping balls

  • Your inbox feels out of control

  • Meetings get missed or double-booked

  • Family time is suffering because it feels like work never stops

  • Lead generation is inconsistent - it feels like feast or famine

  • Invoices go out late, or not at all

  • Your website still says “Happy New Year 2019”

  • You’re not present on socials, even though you know you should be

  • You keep thinking, “I need to get some of this off my plate”

None of this means you’re failing. It usually means your business has outgrown the way you’re running it.

How to choose the right Virtual Assistant

Skills matter, but they’re not the only thing that determines a successful working relationship.

1. Communication

Choose someone who communicates clearly, responds promptly, and makes it easy to stay organised. A VA should reduce confusion, not add to it.

Do they use particular channels that work for you, such as Whatspp, or email for updates.

2. Reliability and trust

Your VA may handle sensitive information such as client details, invoices, calendars, or passwords. Look for professionalism, discretion, and consistency.

Check that their availability lines up with what you need, understand what turnaround times look like and when to expect communication.

3. Initiative

A great VA doesn’t just wait for instructions. They ask questions, spot inefficiencies, and suggest improvements to help.

4. Values and personality

You’ll work closely with this person, so it’s important that your working styles and values align. You should feel comfortable bringing them into your business, not keeping them at arm’s length, as well as keeping yourself accountable. Do they pass the vibe check?!

5. Relevant experience

While every VA can learn, it helps if they already understand your industry or the types of tasks you need support with.

Check that they have the skills you require, particularly with specific tools or systems.

9. Reviews/Testimonials

Look for, or ask for, recent reviews and testimonials. This will help guide you to the right person.
